Using the Library

To access a listing of your client files, click the Library menu.

Each time a new Client File is created and saved to disk, Profile automatically adds a new entry to its client Library file that contains:

The file in which this information is stored is named ClientLibrary.xml. It is located in the Profile Professional 2004\Reports directory.

By default, the Library dialog box lists Client Files by their date of creation with the last entry being the most recently created. You can however print a listing of your Client Files that is sorted by any of the fields described above. For example, to print a listing of Client Files by ID, click on the ID button. In the print preview screen that appears, click the printer icon to print the listing, or click the envelope icon to export the listing to another format.

Entries within the ClientLibrary.xml file exist independently of any other Client Files that are saved on disk. You can for example, delete any of the Client files that Profile creates for a given individual within the \Reports directory, and the client file entry for that person will remain in the ClientLibrary.xml file.

If you delete or rename the ClientLibrary.xml file, Profile will create a new file by the original name in the \Reports directory when you create another new Client File. You can take advantage of this behaviour to save listings of client file data by month. To accomplish this, rename the ClientLibrary.xml file to reflect a specific month/year, or give it another suitable name such as ClientFiles_Jan2005.xml. The next time you create a new client file, Profile will automatically create another ClientLibrary.xml file in the \Reports directory.

To access the contents of a previously renamed Library file, you must rename it back to ClientLibary.xml. Before you do this, be sure to rename your current ClientLibary.xml file first.

To delete a Client File entry in the Library dialog box:

  1. Click the row containing the entry you want to delete.
  2. Click the Delete button.

This action will not delete the Client File from disk. It will only remove that entry from the Library dialog box listing.
